In Ukraine, a clear deadline has been set for the transition to digital accounting of work experience. By June 10, 2026, citizens who have paper employment records must digitize their documents. This requirement applies to those who began their professional activity before January 1, 2004. The Pension Fund of Ukraine (PFU) explains the procedure and the consequences if the deadline is missed.
Who and how to submit documents
The initiative to digitize can come from either the employee or the employer. A special web portal of the Pension Fund (portal.pfu.gov.ua) is provided for uploading scanned copies of employment records. The procedure is available through the personal account on the agency's website.
The PFU emphasizes that submitting documents in electronic form is not a one-time event. The Fund will continue to accept scanned copies after the established deadline. This means that citizens have the opportunity to complete the digitization process even after June 10, 2026.
Alternatives to the paper employment record
If the original employment record is lost or unavailable, work experience can be confirmed using other official documents. The following can serve as a replacement:
- Employment contracts;
- Information on salary accrual;
- Certificates from the place of work;
- Excerpts from orders on hiring or dismissal.
Confirmation of work experience in combat zones
Special conditions apply to those whose enterprises were located in occupied territories or in combat zones where archives may have been destroyed or lost. In such cases, the testimony of at least two witnesses is required to confirm work experience.
Witnesses must provide their own documents confirming the fact of their joint work with the applicant in the given organization during the specified period.
Preservation of insurance work experience
The Pension Fund reassures citizens: missing the deadline will not lead to the loss of accrued work experience. If the paper employment record is not digitized by June 10, 2026, the insurance work experience will not be annulled. Official explanations from the agency are intended to alleviate unnecessary anxiety among the population, however, timely updating of data in the system remains a priority for simplifying future pension calculation procedures.
